Built with a fictional church and fictional records. Live deployment and real-church operation are separate steps we will talk through with you.
One request, a clear handoff
Fictional example: Nora asks the office for a home visit. The office records an operational visit request and priority. A coordinator assigns a permitted visitor and a planned date. The visitor checks My visits before leaving; the coordinator remains responsible for reassignment if the visitor is unavailable.
On the first attempt nobody answers. Record attempted contact. On the next visit Nora is reached: record completed contact. Keep the two outcomes distinct; the report should show one attempt, one completed visit and one unique person reached. Never mark a visit completed just to clear a worklist.
Record a follow-up task with an owner and due date. Leadership uses the visit activity report to check completed visits, attempts and unique people reached, then follows outstanding work through the assigned worklist.
Who sees what
A visitor with assigned-only access sees their assigned work. A coordinator with broader visit permissions can plan and reassign permitted work. The viewer role has no visit access. Report and export access follow the source permissions.
This walkthrough uses operational requests and visits. Confidential care cases are a separate capability with separate access; private care narratives and private outcome notes do not belong in leadership summaries or printed volunteer sheets.
Use a phone or paper
Open the staff visit worklist in a phone browser, or prepare a visit worksheet or cards. Check the audience before handing paper to a volunteer. Enter returned paper outcomes and retain the distinction between an attempt and a completed contact.
Staff visitation is a responsive browser workflow. The native member app is a separate experience. Generated print previews can be evaluated now; actual devices, physical paper and real-pastor understanding are covered by the deferred walkthrough.
Things to try
- Plan and assign a requestChoose the Cedar Grove pastor role. Open Visits, record a fictional request and confirm its visitor and date.
- Prepare the visitor worksheetPreview only the permitted audience. Compare the phone worklist with the printed fields.
- Compare attempt and completionRecord the two outcomes and an owned follow-up; check the report definitions and unique people reached.
